Summary for Web of Notes on M&MWG meeting 27/06/12

The meeting was attended by 8 members and 3 sent their apologies.  The Group’s Members decided the level of charges for non-members at meetings and continued their review of control, safety, liability and presentation at society meetings. A revised attendance recording and fee collection process will be implemented soon. A proposal for revisions to the rules for associated societies is being prepared.  Detailed proposals for the marketing programme for the next 18 months were presented to the June Board of Trustees and some items have been carried forward for decision at July F&GPC and Board meetings. The key differences between SANHS and other societies are now up on the web site and the format of their wider presentation is being reviewed.  A proposal for a “Recommend a Friend” scheme to start in August was agreed and F&GPC approval will be sought.  A pilot scheme to contact people moving into the county is being launched. It agreed that where subscriptions have not been paid in full people should be removed from SANHS membership on 31 July.  The feed of information to the chairman for publicity purposes is quite weak.  Proposals, including for an associated societies section, for the website were reported. Plans for SANHS’s presence at events including Dunster Country Fair and Dillington House were discussed – volunteers for staffing requested.  A preliminary meeting to discuss a potential multi-disciplinary project in West Somerset will be held in October.  The group chairman’s role was confirmed.  A sub-group will be formed in the autumn to review the Society’s appeal to young people. The next meeting is due on 27 August at SHC.

Summary for Web of Minutes of M&MWG meeting 30/05/12



The meeting was attended by 9 members and 3 sent their apologies.  The Group’s Members discussed charges, control, safety, liability and presentation at society meetings and also members’ and associated societies’ privileges and charges for meeting attendance.  Some matters will be taken to the Board and proposals will be made to this committee in June. The key differences between SANHS and other societies were considered.  Activities and plans to communicate with prospective members and to increase membership were discussed together with plans for SANHS’s presence at Taunton Flower Show and Dunster Country Fair – volunteers for staffing requested.  Suggestions for a member-nominate-a-friend scheme will be compiled into a paper for a future meeting.  Progress with actions to raise the Society’s profile was considered and members were asked to feed in SANHS press clips.  A press feature article is planned if members supply the information needed. It is proposed that where subscriptions have not been paid in full people should be removed from SANHS membership records on 31 July; inactive accounts should also be closed. Membership statistics were produced for the AGM and will be produced regularly in future.  The success of the website was reported. Drop-in short courses on it will be held at SHC, am on 9th June.  A draft report the June Board meeting on the group’s activities (with schedules for the future programme) for was tabled for comment. This included the proposal that a volunteer Membership Secretary be appointed. The next meeting is due on 27 June at SHC.

Summary for Web of Minutes of M&MWG meeting 23/04/12
The meeting was attended by 9 members and 6 sent their apologies.  The group’s Terms of Reference, as approved by the Trustee Board on 22 March 2012, were adopted.  Members discussed control, safety, liability and presentation at society meetings and also members’ and associated societies’ privileges and charges for meeting attendance.  Some matters will be taken to the Board and proposals will be made to this committee in May.  Activities and plans to communicate with prospective members and to increase membership were reviewed.  A member-nominate-a-friend scheme will be discussed again at the next meeting.  Progress with actions to raise the Society’s profile was considered and SIGs were asked to play a greater part in these. A member has taken an interim media liaison role. The Society’s new leaflet was made available for distribution.  Subscription follow-up activities continue and regular membership statistics will be produced.  The success of the website was reported. A draft report on the group’s activities for the June Board meeting will be discussed at the next meeting on 30 June at SHC. The following meeting is due on 27 June.

M&MWG 6 Mar 2012

The meeting of the Membership and Marketing Working Group on 6 March was attended by 3 trustees of the Society and 6 members representing the majority of special interest groups of the Society. The Group identified the prime Membership and Marketing priorities. It initiated additional action plans to enhance member recruitment and carry out advertising and promotion activities. The Group's functions and reporting were examined. The next meeting will be held on 28 March at SHC.

Marketing & Membership Working Group

I believe that the group wants to be in a position to say something positive to the AGM on 11 May and so time is short. After some initial discussions, I am calling a meeting of the revitalised Membership and Marketing Group for 2.00 next Tuesday 6th March at SHC. I hope very much that you are able to attend.

 We have two main issues to resolve:
 
1. To look at projects in progress and important ones that are stalled and generate plans of action to meet the Society’s immediate needs.

2. To draw up terms of reference and a programme of work for the group that enable it to operate within the Society’s structures and that provide greatest benefit to SANHS
